ASB Executive Officers

Executive Officers

The Executive Officers shall consist of the President, Vice President, Secretary-Treasurer, and Social Coordinator, Vice Social Coordinator, and Bird Feeder Coordinator.

  • The President must be a member of the senior class during their time in office
  • The Vice President and Social Coordinator must be members of the junior or senior class during their time in office
  • The Secretary-Treasurer, Bird Feeder Coordinator, and Vice Social Coordinator must be members of the senior/junior/sophomore class during their time in office

Duties of the Executive Officers

The Executive Officers shall perform, but are not limited to, the duties listed for each position below.

  • Prepare ASB weekly meeting agenda
  • Facilitate weekly ASB meetings
  • Lead school announcements
  • Attend all Board of Trustees meetings (1 Wednesday night a month)
  • Delegate ASB jobs and responsibilities
  • Oversee completion of ASB jobs and responsibilities
  • Collaborate with school administrators regarding events, issues or requests of student body
  • Represent Overlake at Open Houses
  • Establish and facilitate open communication among ASB members
  • Attend all ASB functions, including activity set-up and clean-up
  • Solicit input from the Student Body regarding events and/or actions of ASB
  • Obtain a Food Handler’s Permit
  • Staff concessions stand as needed
  • Communicate positively with all grade levels and all members of the Overlake community, including the Board of Trustees, administration, faculty, staff, parents and students
  • Attend pre-school year planning meetings, and training throughout the year

  • Fill in for the President when necessary
  • Coordinate Upper School clubs, working with the Dean of Students to approve/supervise the chartering of all student clubs, maintaining a current record of all student clubs and club advisors and collecting funding requests for presentation to the ASB
  • Oversee concessions
  • Ensure that a schedule is created prior to every sports season
  • Assign ASB members/students to staff concession stand
  • Create a concessions operating procedure
  • Work with kitchen staff to ensure concessions stand remains clean and stocked
  • Work with kitchen staff to create and maintain a permanent price list
  • Create and maintain policy for outside extracurricular groups to staff the concession stand
  • Obtain Food Handler’s Permit
  • Staff concessions stand
  • Attend all ASB functions, including event set-up and clean-up
  • Solicit input from the Student Body regarding events and/or actions of ASB
  • Communicate positively with all grade levels and all members of the Overlake community
  • Attend pre-school year planning meetings, and training throughout the year

  • Record the minutes of all ASB meetings
  • Maintain ASB records, including a binder of all ASB agenda and minutes to be made available to the Student Body via a permanent storage location in the Office of Dean of Students
  • Prepare an annual budget, with the supervision of the Dean of Students, to be presented at the first meeting of the ASB. The budget shall include individual dollar amounts for each anticipated dance or activity (i.e. Fall Dance, Tolo, Olot, Prom, et al)
  • Supervise ASB spending
  • Be always aware of the budget
  • Create and maintain a bookkeeping practice for ASB accounts
  • Communicate with the Business Office when making withdrawals from or deposits to the ASB office
  • Keep records of ASB spending and funding independently of the Business Office
  • Oversee creation and maintenance of ASB website
  • Staff concessions stand (the bird feeder) as needed
  • Attend all ASB functions, including set-up and clean-up
  • Communicate positively with all grade levels and all members of the Overlake community
  • Attend pre-school year planning meetings and training throughout the year

  • Present ideas to the ASB for social events including dance themes or locations or other social events for students
  • Act in conjunction with ASB to plan social events and communicate with vendors
  • Supervise the execution of social events, including set-up and clean-up
  • Chair the Social Committee to help with the execution of events
  • Work within the ASB budget for events, as determined by the ASB
  • Promote and advertise for social events
  • Attend all ASB functions, including set-up and clean-up
  • Solicit input from the student body regarding events and/or actions of the ASB
  • Obtain a food handing permit
  • Staff concessions stand as needed
  • Communicate positively with all grade levels and all members of the Overlake community
  • Attend pre-school year planning meetings, and training throughout the year

  • Act in conjunction with Social Coordinator to plan social events and communicate with vendors
  • Assist Social Coordinator with supervising the execution of social events, including set-up and clean-up
  • Support Social Coordinator to promote and advertise social events
  • Solicit input from the Student Body regarding events and/or actions of ASB
  • Attend pre-school year planning meetings, and training throughout the year
  • Collaborate with school administrators regarding events, issues or requests of student body
  • Represent Overlake at Open Houses (as needed)
  • Establish and facilitate open communication among grade level and ASB members
  • Attend all ASB functions, including activity set-up and clean-up
  • Communicate positively with all grade levels and all members of the Overlake community, including the Board of Trustees, administration, faculty, staff, parents and students
  • Attend all ASB functions, including set-up and clean-up of all functions and events

The Vice Social Coordinator is required to attend and oversee all dance set-ups and clean-ups for the entire school year. If one cannot commit to all four dance dates, they should not run for this position.

  • Oversee all aspects of the Bird Feeder; scheduling, staffing, creation of operating procedures, pricing, stocking, cleaning
  • Obtain Food Handlers Permit
  • Create and maintain policies and procedures for extracurricular groups (clubs) to staff the concession stand
  • Attend all ASB functions, including event set-up and clean-up
  • Solicit input from the Student Body regarding events and/or actions of ASB
  • Communicate positively with all grade levels and all members of the Overlake community
  • Attend pre-school year planning meetings, and training throughout the year
  • Collaborate with school administrators regarding events, issues or requests of student body
  • Represent Overlake at Open Houses (as needed)
